Chapter-16 Price level and list

Everyone who had food from hotels will know what a Price List is. It lists out Items, time / season of availability, price, additional charges and Taxes, if any. If one asks the hotel to supply 200 idlies, then the same single unit price will not be charged. It would be little less as the quantity ordered is high. If it is for 1000, then the rate may get further slashed down. This is known as Price Level – refers to a stage for which a Price List is applicable.

Price Lists are subject to changes based on Price Levels, period, Quantity Slabs, Season and Promotional offers, if any So, accounting software must have a provision to set such Price lists and to apply applicable Prices automatically.

Enabling and defining Price Levels:

F11: Features -> Inventory Features -> ‘Yes’ to ‘Use Multiple Price Levels?’ field is the path to enable this feature.

Necessary Price Levels have to be defined with indicative names after enabling the feature. Here, two price levels defined to have separate Price Lists for Wholesale and Retail customers. So, each stock item will have at least two prices.

Setting Price List for different Price Levels:

Inventory Info -> Price List -> <Price Level> -> <Applicable from Date> is the path to set Price List for a Price Level. Note that Price Level option will get enabled only when there is a stock item.

Here, sale up to 50 Nos. of Executive Diary is considered as Retail Level and prices set for different quantity slabs within the level itself.

Setting Price List for different Applicable Dates:

Price list for a particular price level may get changed from period to period. Such changes can also be incorporated.

If one compares this with already shown price list, he may find except applicable date and prices all others are same. Besides, existing Price List is also got displayed for reference.

Fixing Price Level to Debtors:

During creation of ledgers itself, customers can be assigned with a price level suit to them. So prices from that level will be automatically applied to them at the time of raising sales invoices. This will avoid application of wrong prices, searching prices in front of customers, allowing customers to reveal existence of different prices and so on.

Tracking prices in Invoices:

Tally will track price from respective price level, applicable date and the corresponding quantity slab. From the following two invoices, one can easily understand.

Rates applied are as defined for retail price level. Rate for 10Nos. are also get changed when change in date. Different price is applied on the same date when quantity slab differs.

Printing / Exporting Price Lists:

Price lists can get printed by using Alt + P keys from price list screen.

By pressing Alt + E keys from price list screen, the same can get exported as excel or html or jpeg or pdf formats.
